Every employee, supervisor, manager, or owner wants to know when events occur as a loan is being processed. They want to know when loans are approved, funded, ready to sell, etc., when reports or functions have to be run on a daily, monthly, or annual basis. Managers want to know when delinquent notices have to be sent out, were they mailed, if late charges were assessed, were ARM notices sent out timely to the borrower, and when various reports have been completed, etc.

Knowing what is happening helps managers to schedule their work and the work flow of the department.

Furthermore, there are always functions that require schedules to be maintained, memos or messages sent to other departments or employees. When jobs are being done or to be done are maintained on pads or calendars, it is a continual job to update and follow up to be sure the function was done or is being done.

  • MTK assembles together the data or functions from all workstations within the real estate department.


  • Reports can be scheduled as to when to be run and with a message indicating when done.


  • Messages can be sent from one employee to another, or to groups of employees. Messages can be retained or passed along. Dates reports were run are logged in and a record maintained. This record log is for auditors, or management to review.

Functions of MTK

    TracMe

      Track for me when reports need to be run. List reports past their run date and not completed.

    ShowMe

      ShowMe when reports are completed and maintain a log indicating when the reports were successfully run.

    SchedulMe

      Displays when reports are scheduled to be run. The schedule can be daily, weekly, monthly, annually, or only once. A calendar of when to do the job is maintained by the program.

    Report Control

      Provides a listing by package of all reports available to be set up for the SchedulMe, TelMe, and EDI enabled. The operator can determine from the listing which reports to set up.

    HMDA

      A program to verify the information to be submitted and gives a listing of exceptions. Provides a method to speed correct the exceptions for the loans in the MB package. The corrections are then included in the file to be reported to HMDA.

    Communications

      A control center providing messages to be sent to specified groups when functions are performed in MB and LS for the department.

    Flood Insurance

      A program to pull from the Mortgage Banker and Loan Servicing packages information to be sent to and received from the provider of Flood Zone Determination.

    Data Manager

      The ability to design reports in the various packages to be printed and/or stored for transfer to the EDI-Plus package.

    File Generator

      The operator can generate comma delimited ASCII files to be transferred and used in other software.

    EDI-Plus

      EDI-Plus is the doorway MC OFFICE Software uses to electronically transfer data out of and in to Loan Servicing and Mortgage Banker. The fact that EDI-Plus resides on a stand alone PC makes it an excellent FIREWALL between your company data and the outside world.


Job Description - Functions of MTK

Tasks That Must be Performed

  • Monitor the system 24 hours a day.
  • Provide a list of reports that need to be run on a single date or any specified date range.
  • Keep a list of reports that should have been run, but were not, and provide the date they should have been run.
  • Keep track of every report that is run, by package, schedule date, run date, result, terminal, and operator.
  • Provide access to data on reports as to when a specific report was run, the history of when a report was run. Has the report been run as scheduled, has the report been run when I asked for it to be run?
  • Maintain a list of all reports that need to be run on a daily basis, and provide this list to the nightly operator with a full set of detailed information to help the operator print to the right printer, use the right paper, distribute the reports to the proper departments, select the proper sort criteria, etc.
  • Set up and maintain a list of all reports that need to be printed on specific dates.
  • Maintain a log of all people that need to be informed when certain reports are run, notify them immediately upon completion of a report.
  • Create a report data file that can be stored for use in trend analysis, report data comparison, graphical output, creation of charts and graphs of data for use in board reports, presentations, proposals, etc.
  • Clean up report data files so the system runs at optimum speed.
  • Track each loan folder, no matter who has it.
  • Compile data for reports that will allow you to manage the work flow in your department. Assess where the bottle necks are in the pipeline so that efficiency can be increased.
  • Verify that your HMDA data for each loan has been entered properly, if not they will produce a report, so you can see what is wrong.
  • Pull up each loan on the screen so that data can be added or corrected.
    Maintain a detailed list of each person in every department:
    • What they want to know
    • Maintain at least 30 separate groups of individuals to communicate with when certain functions occur.

Also Track

  • Special reports that should be generated and exactly what the data selection criteria is.
  • Store this report data in files that can be transferred to spreadsheets, word processors, etc.
  • Take dictation for messages from anybody, anytime, and deliver them promptly. If the person to whom the message is going to is not available, you must be willing to wait patiently at that persons terminal while making sure all other tasks are still being completed.

Finally

  • Must be willing to commit to this job forever for a one-time fee and a small monthly stipend.
